We collect information you provide when creating an account (name, email), data generated through your use of NILES (conversations, insights, action items), and standard technical data (IP address, browser type, device information).

2. How We Use Your Information

We use your data to:

Provide and improve the NILES coaching experience
Generate personalized insights and analytics
Maintain account security and authentication
Send service-related communications
Comply with legal obligations

3. Data Retention

We retain your data for as long as your account is active. If your organization has enabled zero-retention mode, conversation content is deleted after processing. You may request deletion of your account and data at any time.

4. Data Sharing

We do not sell your personal data. We may share data with: (a) AI service providers to process your conversations; (b) infrastructure providers to host the service; (c) as required by law.

5. Security

We implement industry-standard security measures including encryption in transit and at rest, access controls, and regular security reviews.

6. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or export your data. Email privacy@neuroleadership.com to exercise these rights.

7. International Data Transfers

NILES supports multi-region deployment (US, EU, APAC). Your data is processed in the region configured for your account.

8. Your Rights Under GDPR (EEA Users)

If you are located in the European Economic Area (EEA), you have the following rights under the General Data Protection Regulation (GDPR):

Right of Access: You may request a copy of the personal data we hold about you.
Right to Rectification: You may request correction of inaccurate or incomplete personal data.
Right to Erasure: You may request deletion of your personal data when it is no longer necessary for the purposes for which it was collected.
Right to Data Portability: You may request a machine-readable copy of your data to transfer to another service.
Right to Restriction of Processing: You may request that we limit the processing of your personal data under certain circumstances.
Right to Object: You may object to the processing of your personal data for direct marketing or where processing is based on legitimate interests.

To exercise any of these rights, contact us at privacy@neuroleadership.com. We will respond to your request within 30 days. You also have the right to lodge a complaint with your local data protection authority.

9. Your Rights Under CCPA (California Residents)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA):

Right to Know: You may request details about the categories and specific pieces of personal information we have collected, the sources of that information, and the purposes for which it is used.
Right to Delete: You may request deletion of the personal information we have collected from you, subject to certain exceptions.
Right to Opt-Out: You may opt out of the sale of your personal information. Note: NILES does not sell personal information to third parties.
Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights. You will not receive different pricing, service levels, or quality for exercising these rights.

To exercise your CCPA rights, contact us at privacy@neuroleadership.com. We will verify your identity before processing your request and respond within 45 days.

NILES uses the following cookies:

cc_cookie: Stores your cookie consent preferences.
_ga: Google Analytics cookie used to distinguish users. Duration: 2 years.
_gid: Google Analytics cookie used to distinguish users. Duration: 24 hours.

11. Google Workspace Data and AI Model Use (Limited Use)

When you connect a Google account (for example, Google Calendar), NILES accesses the minimum Google Workspace data needed to provide the features you request — such as event titles, times, and attendee names used to generate scheduling reminders and preparation prompts. This data is used solely to provide functionality to you, the authorizing user, on an inference-only basis.

NILES's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, raw or derived Google user data is never used to create, train, or improve any generalized or foundational artificial-intelligence or machine-learning model.

NILES processes this data using third-party AI providers (Anthropic and OpenAI) for real-time inference only. Under these providers' commercial API terms, data submitted through their APIs is not used to train or improve their models. Any derived outputs (such as summaries or reminders) are stored only within your own account and are never pooled across users or used for model development.

12. Changes to This Policy

We may update this policy periodically. We will notify you of significant changes via email or in-app notification.
